AI Automation Ideas for Salons and Spas
By Mohamed Eltoukhy, founder of EVOGENCY ·
Salons and spas run on appointments, and appointments run on communication. Booking, confirming, rescheduling, reminding, rebooking, and following up add up to hours every week, usually squeezed between clients. Automation can handle much of that busywork so your team can focus on the people in the chair.
Online booking that actually gets used
Online booking is table stakes now, but many salons set it up and forget it. Make sure it shows real availability, lists services with clear descriptions and times, and works smoothly on a phone. Link to it from your website, Google Business Profile, and social profiles, so clients can book at midnight without calling.
Reminders and confirmations
Automatic reminders a day or two before an appointment cut no shows. Let clients confirm or reschedule with a tap. If you have a cancellation policy, include it in the reminder so nobody is surprised.
Smart rebooking
The best time to book a client's next appointment is before they leave. When that doesn't happen, an automated message a few weeks later, timed to the service, like a color touch up or a facial cycle, invites them back. It feels attentive, not salesy.
Waitlists for last minute openings
When someone cancels, an automated waitlist can text clients who wanted an earlier slot and fill the chair. That turns lost revenue into a booked appointment without anyone making calls.
Answering common questions
Many messages ask the same things. Do you do this service? How long does it take? What should I do before my appointment? An AI assistant on your website or messaging can answer those from information you approve, and hand off to a person for anything personal.
Reviews and feedback
After each visit, an automated message can thank the client and invite a review. Send it to every client. Google doesn't allow asking only clients you think are happy or offering rewards for reviews. Private feedback that comes in lets you fix problems quickly.
Client notes and preferences
Good salons remember details, like a client's color formula, the products they prefer, or that they hate small talk before coffee. Most booking systems let you store notes on each client. Some can surface those notes automatically before the appointment, so whoever is working that day can greet the client like a regular.
AI can help summarize long notes or draft a short pre visit reminder for the stylist. Keep sensitive information, like health conditions that affect treatments, inside your secure booking system rather than in general chat tools.
Keep it personal
Automation should sound like your salon, not a robot. Use your brand's voice, include the stylist's name where it makes sense, and keep messages short. Clients choose salons for the relationship, so automation should support that relationship, not replace it.
Start with one thing
Most salons get the biggest return from reminders and rebooking. Set those up first, then add waitlists and reviews. If you want help choosing and setting up the right tools, our AI automation service can map it out with you.
