Managing Reviews Across Google, Yelp, and Facebook Without Losing Your Mind

Most businesses get reviewed on more platforms than they actively manage. Trying to check every one daily isn't realistic, so prioritization matters.

Google, Yelp, Facebook, industry sites, and sometimes the Better Business Bureau or Nextdoor can all carry reviews of the same business. Here's how to stay on top of them without it taking over your week.

Prioritize by actual traffic

Focus daily attention on whichever platform actually sends the most customers, usually Google, and check the others weekly rather than trying to monitor everything constantly.

Ask new customers how they found you for a month or two. The answers will tell you which platforms truly matter for your business. A restaurant may care about Yelp and TripAdvisor. A contractor may care about an industry directory.

Claim every profile

Make sure you've claimed your business on each platform where you're listed, so you can respond to reviews and keep your information accurate. Unclaimed profiles often show outdated hours or phone numbers, and reviews there go unanswered.

Notifications, not manual checking

Setting up email or app notifications for new reviews on each platform means you find out promptly without needing to remember to check manually.

Route notifications to one person or one shared inbox, so reviews don't fall through the cracks between team members.

Focus requests on one platform

When asking customers for reviews, send them to one place, usually Google. Asking people to choose among several platforms creates hesitation and fewer reviews overall. Your other profiles will still collect reviews naturally.

Check each platform's rules before asking. Some, like Yelp, discourage businesses from asking for reviews at all.

A consistent response style

Use the same tone and standards everywhere: thank people specifically, respond calmly to complaints, and move problems offline. A short internal guide helps if more than one person responds.

Keep business details consistent

Every platform shows your hours, phone number, and address. When you change any of them, update every profile the same day. Mismatched information confuses customers and can make search engines less confident about which details are correct. A simple list of every profile you own makes this a ten minute job instead of a scavenger hunt.

Review management tools can pull reviews from multiple platforms into one dashboard and help with requests and responses. They're worth considering once volume grows, but make sure they follow each platform's rules and don't encourage gating or incentives.
