How to Migrate CRM Systems Without Losing Your Data

By Mohamed Eltoukhy, founder of EVOGENCY ·

Switching CRM systems is intimidating mainly because of the fear of losing years of customer history in the process. A careful approach avoids that entirely.

Most migration problems come from rushing. A plan, a backup, and a test run prevent nearly all of them.

Export everything first, in more than one format

Before touching the new system, a full export of contacts, notes, and pipeline data, saved in more than one place, protects against anything going wrong mid migration.

Don't forget attachments, email history, custom fields, and activity logs. Some systems export these separately, and some don't export them at all. Find out what's possible before you cancel the old subscription.

Clean before you move

A migration is the perfect moment to remove duplicates, fix formatting, and archive contacts you'll never use again. Moving messy data into a new system just gives you a messy new system.

Map the fields

Every field in the old CRM needs a home in the new one. Make a simple list: old field, new field, and any changes in format. Pipeline stages especially need thought, since the new system may organize them differently.

Test with a sample

Import a small batch of records first and check them carefully. Are notes attached to the right contacts? Did dates import correctly? Are phone numbers formatted properly? Fix problems on a small sample, not after importing thousands of records.

Migrate in stages, not all at once

Moving active pipeline data first, then historical records afterward, keeps the business running normally during the transition instead of pausing operations for a single risky cutover.

Pick a quiet period if you can, and tell your team exactly when to stop using the old system.

Verify and keep the old data

After the move, compare record counts and spot check important customers. Keep the export files and read only access to the old system for a while, just in case something turns up missing later.

Rebuild the automations

Data isn't the only thing that moves. Reminders, email sequences, web form connections, and reports from the old system usually need to be rebuilt in the new one. List every automation the old CRM runs before you switch, so nothing quietly stops working after the move.

Train the team

The best migration fails if nobody uses the new system. Show the team how their daily tasks work in the new CRM, and make it the only place leads are tracked from day one.
