Missed Call Text Back, the Cheapest Fix for Lost Leads

By Mohamed Eltoukhy, founder of EVOGENCY ·

Every service business misses calls. You're on a ladder, in a crawlspace, with a customer, or driving. The problem isn't the missed call itself. It's what the caller does next. Many of them simply call the next business on the list.

A missed call text back is the simplest fix there is. When a call goes unanswered, your phone system automatically sends the caller a text within seconds. That text says you saw the call and asks how you can help, which turns a dead end into a conversation.

How it works

Most business phone services and many customer management tools offer this feature. When a call ends without being answered, the system checks that the number can receive texts and sends a message you've written ahead of time. Replies come back to a shared inbox or your phone, so you can pick up the conversation when you're free.

Some systems let you send different messages during business hours, after hours, and on weekends. That's worth setting up, because the right message depends on when they called.

What the text should say

Keep it short, friendly, and clear about who you are. A good message names your business, acknowledges the call, and asks one easy question. Something like "Hi, this is Sunshine Plumbing. Sorry we missed your call, we're on a job. What can we help you with? We'll reply as soon as we're free."

After hours, set expectations. Tell them when you'll respond, and if you offer emergency service, tell them how to reach it.

Avoid long paragraphs, sales pitches, or links in the first message. The goal is a reply, not a click.

Follow the texting rules

Business texting in the United States has real rules. Carriers generally require businesses sending texts from regular local numbers to register through a system called 10DLC, and unregistered messages can be blocked. Your phone provider usually walks you through it.

Replying to someone who just called you is generally treated differently from sending marketing blasts, but you should still identify your business, honor anyone who replies STOP, and avoid adding missed callers to promotional lists without clear permission. If you're unsure, ask your provider or a lawyer about your specific setup.

Respond quickly to the replies

The automatic text buys you time, not forever. When someone replies with their problem, get back to them as soon as you can. If your team can't reply fast during busy hours, that's where an AI agent can help by answering basic questions and booking a time until someone takes over.

Measure the result

Track how many missed calls got a text, how many replied, and how many turned into booked jobs. Even a few saved jobs a month usually pays for the tool many times over.
